Practical Tips for a Faster Badge Pickup

The busiest moment at any registration desk is the first morning, when most attendees arrive within the same hour or two before the opening session. If your schedule allows, consider collecting your badge later in the day on Day 1, or during a mid-morning break once the first wave has cleared. If you arrive in Guadalajara the evening before, check the program for any early pickup window announced closer to the event.

Have your details ready

Lines move faster when everyone has their confirmation open before reaching the front. A few small habits help:

  • Save your confirmation email offline or as a screenshot, since venue Wi-Fi and mobile data can be slow when hundreds of people connect at once.
  • Make sure the name on your ID matches the name used at registration. If you registered under a shortened name, a married name or with only one surname, bring something that links the two, such as the original booking email.
  • International visitors should carry their passport, as it is the most widely accepted form of identification.

Checking your badge

Before stepping away from the desk, take a moment to look over your badge. Confirm that your name, organisation and registration tier are printed correctly, because the tier usually determines which sessions, workshops or receptions you can access. Corrections are far easier to make on the spot than later in the day. Details of what each tier includes are listed on the registration page.

Looking after your badge

Wear your badge visibly throughout the conference, as staff at session rooms and catering areas may ask to see it. Avoid leaving it on a chair or table during breaks, and take care not to bend or damage any printed code it may carry. At the end of each day, keep it somewhere you will not forget it, such as clipped to your bag or with your room key.

Questions before you arrive

If your registration was handled by your employer, a sponsor or a group organiser, ask them in advance whether badges will be collected individually or in a batch. For anything not covered here, such as accessibility needs at the desk or a name change after registering, get in touch through the contact page ahead of your arrival so the team has time to help.
