Getting the Most from Your Message

A clear, complete email is the quickest way to get a useful reply. Before you write, it helps to check whether your question is already answered elsewhere on the site. Session times, tracks and room assignments are listed on the program page, while ticket tiers, what each tier includes and group options are explained under registration. Questions about getting around Guadalajara, accessibility at the venue or places to stay nearby are often covered in the venue notes.

What to include

• A specific subject line, such as "Registration – group of five" or "Speaker proposal – health track", so your message reaches the right person sooner.
• Your full name and organisation, plus the name used on any existing registration.
• Relevant details: the dates you plan to attend, the session or tier you are asking about, and any deadlines you are working to.
• Accessibility or dietary needs, stated plainly, so they can be considered early in planning.

Language and time zones

As a Pan-American gathering, the conference draws participants from across the Americas. You are welcome to write in English or Spanish. Guadalajara follows Central Mexico time, so messages sent late in the day from other regions may be answered the following business day.

Speakers, sponsors and press

If you are interested in presenting, supporting the event or covering it as a journalist, mention this at the top of your email and briefly outline your proposal or outlet. Background on current contributors is available on the speakers and sponsors pages, which can help you frame your enquiry.

Please avoid sending payment card numbers or other sensitive personal data by email. If a request involves official documents, such as invitation letters for visa purposes, explain what you need and we will advise on the appropriate next step.
