Practical Tips for a Smooth Build and Breakdown in Guadalajara
Once you know your space and setup window, the next step is planning the details that tend to cause delays on the day. Exhibitors who arrive with a clear checklist usually finish their build early and have time to test equipment, walk the hall and meet neighbouring booths before attendees arrive.
Shipping and arrival
If you are sending materials to Guadalajara from another country, allow generous time for customs clearance. Mexico requires proper documentation for commercial goods, and promotional items, electronics and printed materials may be inspected. Many exhibitors find it simpler to work with a freight forwarder experienced in trade shows, or to print banners and brochures locally to avoid import paperwork. Label every box clearly with your company name and booth number, and keep a packing list on hand.
Power, connectivity and technology
Mexico uses 127 V electricity with Type A and B plugs, the same style as the United States and Canada. Visitors from other regions should bring suitable adapters and check that laptops, screens and chargers accept this voltage. Bring extension leads, spare cables and a backup copy of any presentation or video loop on a USB drive. Venue Wi-Fi can slow down when the hall is full, so a mobile data hotspot is a sensible fallback for demos or lead-capture apps.
A simple setup checklist
- Printed floor plan and your booth location
- Tools: tape, scissors, cable ties, a small tool kit
- Cleaning cloths and a bin bag for packaging waste
- Bilingual signage or brochures in English and Spanish
- Business cards and a method for recording leads
- Water and snacks for staff during long show days
Staffing and language
Pan-American audiences bring a mix of English, Spanish and Portuguese speakers. Having at least one Spanish-speaking team member makes a real difference to conversations at the booth. Schedule staff in shifts so everyone can attend relevant sessions; reviewing the conference program in advance helps you plan quieter periods for breaks.
Getting there
Traffic in Guadalajara can be heavy at peak hours, especially on setup and teardown days when vehicles queue at loading areas. Check the venue notes for access information and plan to arrive early. For breakdown, pack fragile items first and keep original boxes flat and stored safely so dismantling goes quickly.
